Microsoft 365 provides all Bentley students, staff, and faculty members with a suite of Microsoft 365 applications that can be accessed from anywhere you have an internet connection. Bentley's Microsoft 365 provides 1TB of cloud storage, up to five (5) FREE downloads of Microsoft 365 applications for personal computers (Mac or PC) and iPad/Android devices, and the ability to create, edit, and share Microsoft documents (Word, Excel, PowerPoint, OneNote) using a web browser. In addition to access from anywhere, using web-based versions of Microsoft 365 applications allows multiple people to collaborate and edit documents at the same time!
From the Microsoft 365 Portal page you can access all of the Bentley licensed Microsoft 365 applications. You can also access recent documents and recently accessed OneDrive - Bentley University files/folders.
If you are interested in accessing your email and calendar only, you can go directly to Outlook on the web at https://www.outlook.com/bentley.edu

Microsoft 365 Outlook Email and Calendar is a web-based application that provides you with the ability to access, store and synch your email, calendar and contacts from any device connected to the internet. You can use Microsoft 365 Outlook Email and Calendar from your office, from home, or from anywhere you have an internet connection.
Access Microsoft 365 Outlook Email and Calendar
To access the full-suite of Microsoft 365 applications, login to the Microsoft 365 Portal. When prompted for your account, enter you Bentley email address and then your password. If you are interested in accessing ONLY your email and calendar, you can go directly to Outlook on the web!
Configure Microsoft 365 Outlook Email and Calendar on your Mobile Devices
If you access your Bentley email on your mobile device and you would like the benefits of integrated calendar and email, Bentley recommends that you use the Outlook App. The Outlook app is designed to work with Microsoft 365 and may provide more features and functionality than native email and calendar applications.

What is OneDrive for Business (Bentley University)
OneDrive for Business enables you to access the files that you save to your "OneDrive - Bentley University" folder anytime from anywhere directly from your Microsoft 365 applications or from the Microsoft 365 portal.
OneDrive - Bentley University is available for your PC, Mac, iOS or Android, so you can access your files on any device, any time you are connected to the internet.
All files that you store in your “OneDrive - Bentley University” folder are private unless you decide to share them. You can share files with Bentley colleagues or with people outside of Bentley.
Departmental or group documents should not be stored in OneDrive - Bentley University. Microsoft Teams and/or SharePoint are the tools of choice for storing and sharing documents that are commonly “owned” or “governed”. Think of it as “my stuff” is stored in my “OneDrive - Bentley University” and “our stuff” is stored in Teams and/or SharePoint.
To get started using OneDrive for Business, you need to install the OneDrive for Business desktop application.

What is Microsoft Teams
Teams is a collaboration tool that provides local, global, remote, and dispersed teams with the ability to work together and share information via a common work-space. Teams includes features like document collaboration, one-on-one chat, team chat, voice & video communications, and more.
Teams is available for your PC, Mac, iOS or Android, so you can access Teams on any device, any time you are connected to the internet. You can access Teams by logging in to https://microsoft365.com with your Bentley email address and password. You can also download the Teams App from the Apple App Store or Google Play Store.
Teams and Channels
To start your teamwork collaboration, you need to create a Team. Setting up a Team is easy and requires a Team name and a description. Once you have created a Team you can then add team members. Adding a new Team will create a matching Microsoft 365 Group, OneNote, SharePoint site and Plan so many of the tools that your team will use are established for you.
Each Team can have subsections, which are called Channels. A General Channel is automatically created when you add the Team and you can add additional Channels as necessary. Think of a Channel as a way to organize related work or activities. You can have multiple Channels within a Team. For example, you could have a Human Resources Team and then Channels such as “Hiring Practices”, “Interviewing Tips”, “Approval Processes”, etc. Or you could create a Team for a departmental project and Channels for each of the major project components.
Each Channel you create has its own Conversation (group chat), Files (shared documents) and Notes (shared OneNote) and you can create whatever suits your needs and ways of working.

Most Microsoft 365 software can be installed directly on your Mac, however, some courses at Bentley will require functions not available for MacOS. To complete your coursework, you will need to run certain applications in a virtual environment.
Risk Detections on Sign-in that May Trigger Multi-Factor Authentication or Password Changes
The Bentley Cybersecurity team in conjunction with Microsoft Azure has implemented new Microsoft services in Microsoft 365 (Email/OneDrive) to strengthen Bentley’s security posture and help safeguard your data.
These new services will automatically monitor unauthorized, unusual or atypical behavior based upon previous activity of your account and then establish a risk scoring for those activities and restrict the use of common “guessable” passwords to reduce the risk of potential beaches. Microsoft determines atypical or unusual behavior as a collection of several situations including but not limited to: bulk incorrect password attempts, impossible geographic travel or logins from known malicious network addresses.
In the event questionable activity is detected on your account, you may be required to respond to a MFA challenge and or reset your password after accumulating multiple high risk activities. This will happen automatically based upon the type of activity that Microsoft deems unusual.
