Work Order Control Overview
The Work Order Center is the hub of activity for the Facilities Management Division. All work order calls and on-line requests are processed here. Once a priority has been established, it is forwarded to the appropriate Trades personnel. Once a Work Order is completed online, it is prioritized and the work is scheduled.
We also offer a limited amount of office supplies for administrative use. Faculty and Staff may also have business related packages accepted and delivered through shipping and receiving.

The most efficient way to process a request for work is by submitting your request online. Our Infor EAM software also allows you to view and track your submitted work orders.
When logging onto the Work Order Form, please use your eight digit Bentley ID number without the @ symbol.
No cable, internet or phone line requests. These types of repairs are completed by Telecommunications.
If your request is an emergency such as a power outage or a gas or burning odor, please call 781.891.2436 during our office hours. Please call University Police at 781.891.2201 for emergency requests when our office is closed.

The Work Order Control and Materials Management department is the hub of activity for the Facilities Management Division. The department works directly for the Director of Facilities Administration. All work orders and service requests are processed through this department. Customer service is paramount and this customer-centric department's main focus are the calls and requests that are entered by the Bentley community. The average number of work orders that are processed each year through INFOR are at approximately 50,000. PM’s (Preventative Maintenance) are included in the overall work orders that are processed campus-wide on various assets annually. Work Order Control and Materials Management also provides the support for the trades managers as they schedule, plan and prepare the trades staff with daily and project work. The support includes work orders, ordering parts, insuring inventory is in place and the mail distribution for faculty and staff. An additional responsibility is the coordination of all events on campus; whether it is a small meeting in LaCava to the largest event on campus, Commencement. The coordination and requests are handled through the Work Order Control department.
Asset Management provides a framework for optimizing and implementing major decisions on the operation, maintenance, renewal and enhancement of assets to deliver a safe, economic infrastructure. There are several thousand assets in the INFOR work order system tailored specifically to Bentley University. An asset is any individual item that Bentley University maintains such as vehicles, roadways or pieces of equipment. Adding an asset into the system creates the benefit of keeping a history of work against that asset. As buildings are built or renovated, new assets are added into INFOR. As assets become old, obsolete or replaced, they are removed from the system. Corresponding PMs are created and reviewed to ensure that correct routes and material lists are properly made especially when new equipment is added to the system. Materials Management is responsible to oversee the combined efforts of Purchasing, Shipping and Receiving, stocking of the commodities through Inventory Control, and by the procurement and receipt of goods and services in a cost effective and expeditious manner.
